Short answer
Forward the calls you can't take to an AI receptionist that knows your listings. It answers the buyer's questions, checks pre-approval and books the viewing into your calendar while you stay with your current client. The call you can't take
It's Saturday at 11. You're walking a family through a townhouse in Fleetwood, and your phone buzzes in your pocket. It's a buyer who just saw your Fraser Street listing. You let it ring. By the time you call back at 1:30, they've booked a viewing with another agent.
That's the realtor's version of a missed call, and it happens most on the days you're busiest. Buyers don't call one agent and wait. They call whoever's name is on the listings they like. According to the Lead Connect survey, 78% of customers go with the business that answers first.
Speed matters even more than it feels like. A widely cited lead response study found that leads contacted within 5 minutes were 21 times more likely to qualify than leads contacted after 30 minutes. You can't hit 5 minutes from inside someone's kitchen. Your business can.
What buyers actually ask
Listing calls are repetitive. Most of them cover the same handful of questions, and an AI receptionist can answer them from the listing notes you give it:
- Is it still available? Plus offer dates and open house times.
- The basics. Price, size, bedrooms, parking, strata fees, pets.
- When can I see it? Real open times from your calendar.
It only shares what you've approved. If a buyer asks something your notes don't cover, it takes a message. It doesn't guess, and it never talks price strategy or offers. That's your job, and in BC it's a licensed job regulated by the BC Financial Services Authority (BCFSA).
Qualify before you drive over
A booked showing is only worth the gas if the buyer is serious. So before offering a time, Javelin asks what you'd ask:
- Are you pre-approved, and roughly what's your budget?
- When are you hoping to move?
- Are you working with another agent?
You see the answers in the booking summary before you meet them. A buyer who isn't pre-approved yet can get booked for a call with you, or pointed to a mortgage broker you trust.
Showings that respect your day
Javelin reads your Google or Outlook calendar and only offers open slots. You set the travel time between showings, so it won't book you in Burnaby ten minutes after a viewing in South Surrey. On a team, each agent has their own calendar, and a booking for one agent never blocks another.
After the booking, the buyer gets a text with the address and time. You get a summary with the transcript. If someone says "I'm only in town until tomorrow, can I see it tonight?", it marks the call urgent and texts you so you can decide.
Seller calls get the same care. A homeowner asking what their place might be worth gets booked for a valuation call with you. CRM sync is coming soon. For now, every lead lands in your dashboard.
Buyers who'd rather speak Punjabi
Plenty of buyers in Metro Vancouver are more comfortable in Punjabi, Mandarin, Cantonese or Hindi, and sometimes a parent takes over the call halfway through. Javelin switches languages mid-call and answers in whatever the caller speaks. Every language is on every plan, and we test your script in each one before launch. More on that in our post about multilingual phone answering in Surrey.
Getting set up
You keep your number. You forward missed and busy calls to Javelin, which takes about 15 minutes and is easy to undo. Setup takes about a week: we load your listings, set your showing rules and test it with you. See how it works for realtors, or run your own numbers in the ROI calculator. One extra commission a year usually covers it many times over, since a typical commission is $10k or more.
Quick questions
Can it answer questions about my listings?
Yes. We load the details you give us, like price, size, strata fees and open house times, and it only shares what you approve.
Will it book showings that clash with my other appointments?
No. It reads your calendar, offers only open times, and keeps the travel time you set between showings.
Does it give advice on price or offers?
Never. It answers listing questions, qualifies the buyer and books the viewing, and the advice stays with you.
